Responsibilities
Administrative Support - 80%
• Maintain customer master data within SAPB1, ensuring accuracy and completeness.
• Create and maintain item codes, customer records, and related system information.
• Process customer purchase orders, including EDI orders.
• Process master sales order and purchase order contracts.
• Process order cancellations, revisions, and related documentation.
• Attach and maintain supporting documentation within SAPB1.
• Process pricing updates and maintain pricing accuracy within company systems
• Process item code updates and monitor data integrity.
• Review SAPB1 dashboards and reports and take appropriate follow-up action.
• Assist with customer platform administration, including document uploads, schedules, specifications, and related requirements
• Validate information accuracy, identify discrepancies, investigate and resolve data inconsistencies in a timely manner.
• Support reporting and data maintenance activities for the the team
• Handle administrative and clerical requests from all team members.
• Perform ad hoc administrative and operational support tasks as required.
Samples Process Backup Support - 20% ongoing support
• Provide backup coverage for sample coordination activities when required.
• Receive, unpack, organize, and store frozen food samples safely and efficiently.
• Maintain sample inventory and freezer organization to ensure accurate tracking and accessibility.
• Notify internal teams of sample arrivals and manage related communications.
• Coordinate the preparation, packaging, and shipment of samples to customers.
• Order and manage dry ice and other shipping materials required for sample shipments.
• Prepare and maintain documentation for domestic and international shipments.
• Scan, file, and distribute records related to LATAM and export shipments.
• Follow up proactively with suppliers, couriers, and service providers to ensure timely deliveries.
• Support urgent sample deliveries, including occasional airport pickups or drop-offs as required (expenses reimbursed).
• Manage courier shipments, incoming deliveries, and shipment tracking.
Qualifications
Qualifications & Skills
• Fluent in English, both written and spoken.
• Intermediate French proficiency is considered an asset.
•English-speaking internal and external [clients/partners/employees] located outside Quebec on a [daily/regular] basis
• Ability to safely lift and handle sample boxes and materials weighing up to 40 pounds as part of regular job duties.
• Exceptional attention to detail and commitment to data accuracy.
• Troubleshooting and problem-solving skills.
• Proactive in managing highly time-sensitive shipments.
• Strong analytical skills.
• Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
• High level of focus and accuracy when performing repetitive or detailed tasks.
• Comfortable performing both operational and admin repetitive tasks. • Ability to identify discrepancies and proactively resolve issues.
• Advanced organizational and time-management skills.
• Ability to work under pressure and manage multiple priorities while meeting deadlines.
• Strong written and verbal communication skills.
• Ability to work independently and collaboratively within a team environment.
• Experience in business software systems (SAP, SAGE300, QuickBooks) considered a strong asset
