As a Data Entry Clerk, you will play a vital role in keeping financial operations running smoothly by entering, updating, and verifying critical client, invoice, and transactional information. Working within our client’s team in a full-time, 5-day in-office environment from Monday to Friday (8:30 AM – 5:00 PM), you will thrive in an encouraging environment with a great office culture and collaborative team spirit.
In this Data Entry Clerk role, you will be deeply involved in finance & accounting support processes, transforming incoming raw documents into accurate, organized electronic records. As a Data Entry Clerk, your day-to-day work will center on capturing invoice details, verifying customer profiles, auditing financial documentation for accuracy, and identifying any discrepancies before data enters the central system. Accuracy and speed are key, as the financial determinations made by the factoring and finance teams depend directly on the high quality of your database entries.
Strong communication and basic-to-intermediate proficiency in Microsoft Excel will empower you to excel as a Data Entry Clerk. Navigating financial databases, maintaining strict confidential standards, and cross-referencing high volumes of information are all central to the position. If you enjoy structured analytical tasks, working with numbers, and taking ownership of data integrity in the finance & accounting sphere, this Data Entry Clerk opportunity offers an engaging path for career growth.
This position operates primarily in English to support documentation and team communications. However, strong bilingualism in English and French is considered a valuable asset for cross-regional financial processing and database coordination.
Advantages
• Competitive compensation package ranging between $48,000 and $65,000 annually based on experience.
• Consistent full-time day schedule: Monday to Friday, 8:30 AM to 5:00 PM.
• Excellent office culture within a welcoming, supportive, and highly collaborative team environment in Mississauga.
• Gain direct, hands-on experience in the specialized factoring and finance & accounting industry.
• Opportunity to work with a leading employer through Randstad, your trusted global partner in career development.
• Access to ongoing professional support, skills enhancement resources, and career guidance.
Responsibilities
• Upload and enter client, invoice, and financial information accurately into the central database as a Data Entry Clerk.
• Review all submitted invoices, contracts, and supporting financial documentation to ensure completeness, accuracy, and consistency.
• Cross-reference and verify incoming data against original source documents to spot errors, omissions, or discrepancies.
• Correct data entry errors promptly and proactively follow up with relevant internal departments when missing information is identified.
• Maintain organized, up-to-date electronic records in full compliance with company data retention and privacy policies.
• Process financial transactions and customer record updates in a timely manner to maintain seamless workflow for the factoring and finance teams.
• Assist with routine audits and regular database health checks to ensure overall system integrity within the finance & accounting framework.
• Handle all sensitive financial records and client details with absolute confidentiality and professionalism.
• Perform additional administrative duties, data cleanup projects, and document indexing tasks as assigned by management.
Qualifications
• Exceptional attention to detail and a high level of accuracy when processing large volumes of data.
• Strong computer literacy with rapid and precise alpha-numeric data entry skills.
• Solid proficiency in Microsoft Excel and familiarity with database systems and office software.
• Sharp analytical abilities to detect, flag, and resolve subtle discrepancies in financial documentation.
• Effective organizational and time-management skills with a strong ability to prioritize tasks under tight deadlines.
• Clear verbal and written communication skills for cross-departmental coordination.
• High degree of discretion, integrity, and ethical standard when handling confidential financial documents.
• Previous experience as a Data Entry Clerk, administrative assistant, or in a related finance & accounting environment is preferred.
• Demonstrated comfort working with financial documents, complex numbers, and high-volume datasets.
• Basic to intermediate mastery of Microsoft Excel (e.g., sorting, filtering, basic formulas, data verification).
• Proven ability to work independently with minimal supervision while meeting daily productivity targets.
