Our client is seeking an Examination Assistant to support their national certification process and uphold the integrity of exam procedures. This role is located in mid-town Toronto and offers a HYBRID opportunity to work with a collaborative team, contribute to meaningful regulatory work, and apply your strong organizational and data-entry skills in a fast-paced office environment. Responsibilities
What YOU will be doing as the Exam Assistant:
Application Processing and Candidate Support
• Verify candidate eligibility and review examination applications for completeness
• Enter and double-check application details and payment information
• Communicate with candidates via phone and email, following up on missing or incomplete documentation
Examination and Registration Administration
• Assist with processing hand-scoring requests and result notifications
• Support preparation and QA of admission cards, result letters, and candidate info packages
• Help coordinate licensing statements and certificate mailing
• Process bordereaux and maintain accurate records in database systems
• Archive records and assist with retention processes
General Administrative Support
• Perform photocopying, filing, and other clerical tasks as needed
• Ensure confidentiality and secure handling of sensitive materials at all times
Qualifications
What YOU bring to the table:
Education and Experience:
• Previous administrative experience (2-3 years)
• Post-secondary degree or diploma, preferred
Skills & Attributes
• Exceptional accuracy in data entry and recordkeeping
• Strong written and verbal communication skills
• Professional, calm, and client-focused approach
• Ability to multi-task, meet deadlines, and manage shifting priorities
• High degree of integrity, confidentiality, and attention to detail
• Comfortable working both independently and as part of a collaborative team
• Resilient under pressure with a positive attitude
Technical Proficiency
• MS Word & Outlook (intermediate level)
• Experience with relational databases (training provided)
• General computer literacy and adaptability to new systems
