Responsibilities
Main duties include:
Administrative duties and reception.
• Maintain/manage calendars, schedule appointments and meetings; read, research, and manage expense
reports.
• Receive and interact with incoming visitors.
• Organize travel arrangements for employees, including US and global employees.
• Organize events such as meals or department/company events.
• Purchase necessary office supplies to include business cards.
• Place and print orders: envelopes, pads, calendar cards, holiday cards, etc.
• Monitor/distribute mail.
• Responsible for the maintenance of company vehicles (to include inspection and tags)
• Prepare some MS Excel operations reports
• Make enveloped with invoices to send for review to clients who request it.
• Verify and reconcile deposits in the system.
• Make electronic credit notes to clients and send them.
Accounts Receivable:
• Using SAP system, generate electronic invoice report.
• Send clients electronic invoices
• Receive stamped invoices from warehouse from clients to whom material has been delivered the
previous day.
• Make enveloped with invoices to send for review to clients who request it.
• Verify and reconcile deposits in the system.
• Make electronic credit notes to clients and send them.
Qualifications
• Must be Bilingual (English and French) (written and spoken)
• Shows high accuracy in administration
• Data entry accuracy
• Team player
• Is highly organized
• Is change and learning oriented
• Has excellent communication skills (interpersonal savvy)
• Experience in accounting handling accounts receivable
• Travel management and expense reporting application skills is a must
• Is highly approachable
• Has effective problem-solving skills
• Has creative flair
• Is flexible (in the broad sense: in terms of working hours and mentally)
• Can effectively set priorities
• Can deal with ambiguity
• Shows composure
• Shows integrity and trust
