Responsibilities
In this role, you will:
Executive Support (CFO & GCCS):
• Manage complex calendars, travel arrangements, meeting logistics, and file organization
• Handle sensitive correspondence, reports, and stakeholder communications
• Track budgets and manage expense reporting for CFO and GCCS
• Support Enterprise Risk Management and other special projects
• Organize agendas, documentation, and provide meeting support
Governance Coordination:
• Ensure compliance with governance policies, deadlines, and Board/Committee mandates
• Maintain master files and distribute timely Board and Committee meeting materials
• Coordinate all logistics for Board/Session/Committee meetings (travel, accommodation, materials)
• Provide direct support and concierge services to Board members
• Track decisions, attendance, and action items for follow-up
Qualifications
What you'll bring to the table:
Education & Experience:
• Post-secondary education in office administration, finance, or related field
• Minimum 5 years of experience in a similar executive/governance support role
Core Skills & Attributes:
• High attention to detail, discretion, and professionalism
• Strong organizational, time management, and communication skills
• Ability to manage competing priorities under tight deadlines
• Experience supporting Board and Committee operations
• Tech-savvy: Microsoft Office, advanced PowerPoint, Diligent platform
• Resourceful, adaptable, collaborative, and independent
• Bilingualism (English/French) and interest in amateur sport are assets
