Responsibilities
-Calendar & Communication Management: This includes extensive, proactive, and complex calendar and email management. You'll also prepare documents, presentations, and internal and external communications, while reviewing correspondence for accuracy and tone.
-Travel & Events: You will proactively plan and coordinate meetings, events, and conferences, including complex domestic and international travel with visa arrangements. You may also be required to provide on-site support for events.
-Financial & Administrative Tasks: The role involves processing a high volume of complex expense reports and vendor invoice coding. You will also handle general research, document management, and timesheet support as needed.
-Technology & Team Collaboration: This position requires you to support the adoption of new firm technology and policies. You'll also work closely with the Chief of Staff and other teams to ensure the CSE's deliverables are met. The role includes being a backup for other team members in a team-centric environment
Qualifications
-A minimum of five years of administrative support experience at the executive level is required.
-Experience in managing a senior executive’s calendar and understanding how to prioritize demands based on various organizational needs is essential.
-You must be fluent in both English and French, with advanced proficiency in both written and verbal communication.
-Must be able to demonstrate intermediate proficiency in M365 and have extensive technical knowledge of firmwide applications.
-Experience with social media tools and Webex is also required.
-Strong client service focus and the ability to demonstrate professionalism, discretion, integrity, and tact.
-Excellent judgment, strong problem-solving skills, and the ability to be proactive and flexible.
-Exceptional organizational skills and the ability to prioritize multiple responsibilities.
-You should have a passion for working in a team-centric environment, including acting as a backup for other team members and contributing to team activities.
-A confident, adaptable approach to working in a highly technical and ever-changing environment is crucial
