Responsibilities
- Oversee and manage the calendars up up to 3 C-Level executives and the Director of Operations, including scheduling meetings and appointments. Proactively identify issues or bottlenecks before they escalate
- Offers solutions and alternatives to optimize executive productivity
- Manage email communications, drafting and responding on behalf of the executives.
- Coordinate board meetings, SLT meetings, Townhalls meetings, Employee Events, Social Committee Events, Deck preparation for Clients, and cross-functional leadership sessions
- Prepare various documents, including reports and presentations on PowerPoint.
- Arrange travel plans and itineraries in the GTA and across Canada as needed
- Project and event coordination
- Act as the primary contact between executives and both internal and external stakeholders.
- Complete expense reports and handle document management.
- Ensure thorough documentation of meetings, including minutes and action items.
- Manage projects with a focus on budget control and operational efficiency.
Qualifications
Must-Have:
- Bachelor’s degree in Business Administration, Communications, or a related field
- 7-10 years of experience as an Executive Assistant or Senior Level Administrative role
- Advanced organizational and time management skills
- Outstanding written and verbal communication skills with a high level of professionalism
- Tech-Savvy & Adaptable with Office 365 ,Excel, Teams, PowerPoint, Task Manager, ERP systems, Shared Drive
- Ability to thrive in a fast-paced environment with multiple competing priorities
- Demonstrable ability to use discretion and protect confidential information
- High energy, proactive, problem solver
- Willingness to be on-call outside regular hours when needed
Nice-to-Have:
- Executive Assistant certification (CAP, CEAP, or similar)
- Experience in a regulated, fast-paced industry
- Experience with Owner-Operated businesses
- Experience with Project Management
- Knowledge of Automation and AI tools
- Experience in a multi-site environments.
