Responsibilities
-Strategic Calendar & Workflow Management: Masterfully manage complex and ever-shifting schedules, ensuring the executive’s time is aligned with high-priority goals.
-Departmental Operational Anchor: Act as the central point of contact for the team led by the executive, ensuring the team has the resources they need to succeed.
-Communication Liaison: Act as the primary gatekeeper and bridge between leadership and the department, facilitating clear communication and ensuring team-wide initiatives are socialized effectively.
-Meeting & Event Orchestration: Lead the logistics for high-stakes board meetings, town halls, and team-building off-sites, including agenda preparation and ensuring action items are tracked across the entire leadership group.
-Culture & Connectivity: Proactively look for ways to improve team morale and connectivity, serving as a sounding board for the team and a direct link to leadership.
-Travel & Logistics: Coordinate intricate domestic and international travel itineraries for the executive and, when required, coordinate logistics for visiting team members or group travel.
-Confidentiality: Handle sensitive information regarding corporate strategy and personnel with absolute integrity, maintaining trust across all levels of the organization.
Qualifications
-The Ultimate Professional: You have 5+ years of experience supporting C-suite or Senior Executives in a corporate environment.
-Matrix Organization Expert: You have a proven track record of navigating a Matrix Organization.
(What we mean by "Matrix": You are comfortable operating in a structure where reporting lines are not just vertical (top-down), but also horizontal. You understand how to manage competing priorities from multiple stakeholders and can influence people you don't "officially" report to in order to get things done.)
-Tech-Savvy: You are a wizard with the Microsoft Office 365 Suite (specifically Outlook, Teams, and PowerPoint) and comfortable adopting new productivity tools.
-A Problem Solver: When a flight is canceled or a meeting clashes, you don't panic—you find three alternative solutions before anyone else realizes there’s a problem.
-Exceptional Communicator: Your writing is concise, and you can build rapport with everyone from frontline staff to global partners.
