Annual bonus and salary review
Schedule: Monday to Friday, 8:00 AM – 5:00 PM (40 hours/week)
Flexible work schedule
100% on-site (arrangement to be revisited after 6 months)

3 weeks of vacation (increasing to 4 weeks after 3 years)

Responsibilities
Key Responsibilities
Manage complex schedules, expense accounts, and administrative correspondence, and track requests directed to the directors.
Schedule meetings, book rooms and videoconferencing systems, prepare minutes, and coordinate logistics for internal and external events (conferences, seminars).
Validate timesheets for the purchasing and distribution departments, organize business travel, and act as the point of contact for facilities and maintenance services.
Draft internal and external correspondence, translate documents (French/English) for the division, and assist in preparing presentations or speeches.
Coordinate the setup of workstations and IT systems for new employees (access badges, system access, phone services) and manage the petty cash fund.
Qualifications
Candidate Profile
Excellent French and English skills (both spoken and written); strong English proficiency is required due to communication with Ontario and Asia.
• Experience in administration or a similar role
• Excellent verbal and written communication skills
• Ability to demonstrate discretion, attention to detail, energy, versatility, autonomy, and organizational skills
• Skills in managing priorities and deadlines, organization, initiative, and multitasking
• Excellent proficiency in software such as Microsoft Office (Word, Excel, Outlook, and PowerPoint)
Highly autonomous, meticulous, and excellent at managing priorities.
Proactive, agile, and highly discreet.
Excellent interpersonal skills within a highly diverse and multicultural environment.
