Responsibilities
What YOU will be doing as the Executive Assistant:
• Provides administrative support by coordinating, facilitating, scheduling and communicating meetings, conference calls and other events across multiple time zones.
• Makes detailed travel arrangements for routine and special meetings and lunches, including coordinating conference space and schedules with other departments.
• Completes monthly expense reports, tracks and organizes expenses, and document them accordingly.
• Forwards accurate and detailed messages, facilitates conference calls and, as appropriate, disseminates general information.
• Composes various documents such as agreements, contracts, correspondence, presentations, reports and agendas.
• Coordinates special activities and functions such as conferences, client conferences and special events, travel appearances, guest travel arrangements, and interviews.
• Creates, updates, and maintains departmental databases when appropriate.
• Establish and maintain appropriate filing systems, both manual and electronic; handle confidential files and reports with discretion.
• Build and maintain strong working relationships across the organization and external partners, representing the executives' office with warmth, professionalism, and a deep understanding of stakeholder needs.
• Bring a creative lens to challenges. Whether it’s streamlining a process or improving a communication flow, you’re always looking for ways to enhance efficiency and impact.
• Think several steps ahead. Proactively identify opportunities, flag potential issues and propose solutions such as pre-booking necessary resourcing and monitoring upcoming deadlines.
• Assists with special projects.
Qualifications
What YOU bring to the table:
• Minimum 5+ of experience in a high level administrative role serving a senior executive in a professional office environment.
• Post-secondary education or equivalent practical experience.
• Exceptional organizational skills, meticulous attention to detail, and the ability to manage multiple priorities simultaneously without compromising quality.
• Strong written and verbal communication skills.
• Proficient with modern office suites (e.g., Microsoft Office 365 – particularly Calendar, Docs/Word, Sheets/Excel, Slides/PowerPoint).
• Proven track record of handling highly confidential information with the utmost integrity and professionalism.
• A self-starter who takes initiative, anticipates needs, identifies problems, and proposes solutions with minimal oversight.
• Ability to thrive in a dynamic, rapidly evolving environment, adapting to changing priorities and tight deadlines with a positive attitude.
• Strong ability to build rapport, influence without authority, and collaborate effectively with diverse personalities and work styles.
