Responsibilities
Calendar and Logistics: Manage a very active daily calendar, schedule appointments, and coordinate sophisticated international and domestic travel, including detailed itineraries, agendas, and compiling necessary documents for meetings.
Communication Hub: Serve as the primary communication bridge between the Americas office, internal departments, and external contacts, often communicating directly on behalf of the CEO.
Information Management: Research, prioritize, and follow up on incoming issues and concerns, including those of a critical or confidential nature, determining the appropriate course of action, referral, or response.
Financial Administration: Complete expense reports, supervise budget spend, and handle correspondence preparation.
Relationship Building: Proactively build and maintain relationships crucial to the organization’s success, demonstrating leadership, credibility, and trust with senior management and team members.
Project Management: Prioritize conflicting needs, handle matters expeditiously and proactively, and follow projects through to successful completion, often with a sense of urgency.
Qualifications
Experience: Demonstrated ability (7-10 years) supporting senior leaders, preferably within a large, global organization. Candidates with exceptional skills slightly outside this range may be considered.
Technical Proficiency: Strong proficiency in the Microsoft Office suite (Word, Excel, PowerPoint, Outlook). Experience with Concur is a nice-to-have.
Core Skills: Proven ability to exercise excellent judgment, maintain confidentiality, and demonstrate strong written and verbal communication, organizational, and administrative skills.
Industry Preference: Experience within the financial services or asset management industry is considered an asset.
