Responsibilities
Executive Assistance
-Calendar & Meeting Management: Manage extensive executive calendars, prioritizing conflicting needs and handling scheduling for internal/external stakeholders.
-Communication Support: Manage high volumes of email inquiries, answer calls, and compose professional correspondence while handling sensitive information with total discretion.
-Board Liaison: Support Board and Committee meetings by managing logistics and preparing/distributing digital materials.
-Travel & Expenses: Coordinate domestic and international travel arrangements and manage expense documentation via Concur.
-Project Tracking: Use sound judgment to follow through on projects to successful completion under tight deadlines.
Office Coordination & Guest Reception
-First Point of Contact: Greet incoming guests, manage the reception area, and handle all incoming calls with a "bubbly and engaging" demeanor.
-Facility Management: Act as the liaison with building management to ensure a safe, clean, and functional office environment; oversee light maintenance and common area upkeep (kitchen, production rooms, etc.).
-Onboarding Support: Assist the People & Culture team with employee onboarding/offboarding, including desk setup and building access.
-Operations: Monitor and order office supplies, manage mail/couriers, and ensure all office equipment (printers, etc.) is functional.
-Event Logistics: Coordinate boardroom bookings, catering, and technical requirements for internal and external meetings.
Qualifications & Skills
-Experience: A few years of experience in an Executive Assistant or Administrative Coordinator role.
-Language: Bilingualism (English/French) is highly preferred.
-Technical Proficiency: Advanced knowledge of Microsoft Office Suite. Experience with Concur and Asana is considered a strong asset (training can be provided).
-Traits: Resourceful, proactive, and organized. You are someone who "sees what needs to be done without being told."
-Reliability: Ability to work onsite 5 days a week in downtown Toronto.
