Responsibilities
Serves as principal aid to the CEO, supporting in dealing with business administration & management; directly handling matters of importance on their behalf.
Builds and elevates the CEO’s executive profile. Identifies and strategically aligns CEO with all relevant marketing opportunities.
Conducts client outreach on behalf of CEO. Understands segments and priorities based on CEO’s profile building strategy and needs of the agency. Maintains communication on behalf of CEO as requested including notes, thank you cards, and gifts and follow-up memos.
Strategic calendar management on behalf of the CEO with full understanding of priority commitments and impact on her profile. Will manage, input changes and new commitments in CEOs schedule. Must ensure all preparatory items are completed –presentations, handouts, catering, internal & external communications—on behalf of CEO. Accepts full responsibility in this regard to coordinating efforts of CEO; managing internal and external priorities and all related administrative support needs.
Helping to support the CEO & President on the coordination of corporate office campus client, new business and employee events from town halls to more intimate CEO/President meetings (in collaboration with Stagwell office team)
Develops and/or contributes to the preparation of reports, briefings, presentations, and responses on agency issues.
Prepares expense reports and monthly finance related submissions on behalf of CEO; President, and others as assigned.
Prepares and/or edits memos, presentations, letters, invitations, and other documents. This includes highly confidential internal and external correspondence.
Develops and maintains a well organized filing system that permits easy reference and rapid retrieval of information.
Monitors, responds to and distributes incoming communication.
Knowledgeable and interested in developing social content, relating to CEO profile.
Oversees all travel & logistics arrangements made on behalf of CEO.
Supports CEO on all Board activities and responsibilities.
Coordinates and research special projects on behalf of the CEO.
Oversees all facets of the daily operations of the CEO.
Works with HR to ensure CEO is prepared for all personnel discussions. Identifies team integration opportunities and challenges; works with CEO and HR to develop viable solutions and programs.
Financial & Operational Admin: Provide dedicated support to the Senior Finance Manager regarding expense reporting, data entry, and financial submissions; ensure all budgeting and documentation is accurate and timely.
Qualifications
-Education: Bachelor’s degree in Business Administration, Communications, or a related field is required.
-Experience: A minimum of 5–7 years of progressively responsible experience in an Executive Assistant or senior administrative role, ideally within an agency or fast-paced corporate environment.
-Technical Proficiency: Advanced skills in MS Office (Outlook, Word, PowerPoint, Excel) and project management software.
-Critical Thinking: A systematic, multi-faceted approach to problem-solving; you must be a self-starter who can take initiative, anticipate needs, and resolve conflicts with minimal supervision.
-Professionalism: Exceptional communication skills with the ability to influence and negotiate; highly approachable, tactful, and diplomatic in sensitive situations.
-Cultural Fit: Ability to remain calm under pressure, adapt to changing workflows, and demonstrate a high capacity for tolerance and collaboration in a busy agency setting.
