Due to the nature of the company’s business relationships with international clients and partners located outside of Quebec, an expert level of English is required. Responsibilities
As a Food Project Coordinator in our business administration division, your main responsibilities will include:
• Ensuring the complete administrative follow-up of projects, from initial file creation to the final product launch.
• Keeping project calendars and timelines up to date so all departments meet their deadlines.
• Acting as the primary point of contact for clients, responding quickly and helpfully to their inquiries.
• Organizing, hosting, and documenting weekly status meetings with the company's valued clients.
• Translating client requests into clear action steps for internal teams (R&D, graphic design, marketing, and purchasing).
• Coordinating the shipment of product samples to clients and gathering their feedback.
• Tracking administrative approvals for packaging artwork and labels required for each project.
• Gathering basic technical documents (specifications, certifications, barcodes) from various suppliers.
• Keeping internal project dashboards updated and writing quick, clear meeting minutes.
• Sending friendly follow-ups and reminders to external partners (printers, packaging suppliers).
• Preparing simplified progress updates for the management team to highlight project successes.
Qualifications
To apply for this exciting opportunity in business administration, you should meet the following criteria:
• Relevant academic background (College Diploma or Bachelor's Degree in business administration, project management, logistics, or a related field).
• Previous experience in administrative coordination or project management, ideally within a manufacturing or distribution environment (an asset).
• Experience in the food industry or consumer packaged goods is appreciated, but absolutely not mandatory.
• Expert-level bilingualism (English and French), required to easily communicate with partners outside of Quebec (representing 70% of the tasks).
• Good proficiency with standard office tools (Excel, Word) and comfort learning new tracking software.
• Familiarity with project tracking tools like Monday.com, Asana, or Trello (an asset).
• Valid driver's license and access to a personal vehicle for travel (car is indispensable).
