Responsibilities
-Buyer & Client Coordination
- Work closely with buyers on all logistics-related matters.
- Maintain efficient, clear, and timely communication with buyers and internal teams.
- Act as logistics contact point for shipment status and delivery timelines.
- Share PO and shipment status updates with clients when required.
Shipment Execution & Freight Management
- Manage global shipments under FOB, CIF, DDU, and DDP terms.
- Ship primarily by sea freight; arrange air freight when required.
- For FOB shipments, compare freight quotes and recommend the best-value option.
- Track all shipments from origin to final delivery.
Freight Cost Entry (Mandatory)
- Collect all freight and logistics costs related to each PO.
- Enter freight costs in the system before PO reception.
- Coordinate with buyers to confirm cost allocation when required.
Express / Parcel Shipments
- Arrange and track express parcel shipments (samples and documents).
- Select appropriate couriers and confirm delivery.
Shipping Documents & Broker Coordination
- Prepare and review Commercial Invoice (CI), Packing List (PL), and Bill of Lading (B/L) or Air Waybill (AWB).
- Verify all shipping documents with buyers before submitting to the customs broker.
- Coordinate with the broker to resolve questions or corrections.
- Update and re-issue documents as required based on broker feedback, in coordination with buyers.
Customs Classification & B3 Verification
- Review B3 customs entry received from the broker.
- Verify that the HS code applied on the B3 matches:
• the HS code in the ERP system
• the HS code declared on the Commercial Invoice (CI)
- If discrepancies are identified, immediately flag the issue to buyers and the customs broker.
- Coordinate corrections to ensure consistent and compliant customs classification.
PO & Daily Shipment Status Reporting
- Maintain a PO-based shipment status report.
- Update shipment status daily for all sea, air, and parcel shipments.
- Share daily reports with buyers, internal teams, and clients as required.
Item Creation Support (ERP)
- Handle item creation in the ERP system for buyers.
- Ensure accuracy of item data (description, HS code, packaging, dimensions, weight).
- Validate item information with buyers before PO release
Qualifications
5+ years experience in logistics, supply chain, or import/export coordination.
- Strong working knowledge of Incoterms (FOB, CIF, DDU, DDP).
- Experience with sea freight, air cargo, and express parcels.
- Strong communication, coordination, and attention to detail.
- Strong experience in sourcing in China and in logistics supply chain in Asia.
