Responsibilities
As a Mail Clerk I, your typical day-to-day duties will include:
Document Preparation & Digitization: Prepare paper documents filed within the designated branch locations for scanning and digital conversion.
Hardware Operation: Efficiently operate digital scanners and photocopiers to digitize physical records.
Quality Assurance: Review digitized documents to confirm visual accuracy, completeness, and alignment with corporate storage requirements.
Information Management & Security: Securely manage physical files, ensuring they are stored in their designated, secure locations while strictly adhering to privacy and data protection policies.
Progress Reporting: Provide daily and weekly status updates to management teams via email and Microsoft Teams.
Compliance & Safety: Adhere to all on-site health, safety, and employee conduct rules, including standard privacy guidelines for handling sensitive customer data.
Adaptability: Remain flexible to support a broad spectrum of document management initiatives as business priorities shift.
Qualifications
Must-Have Skills & Experience
Professional Experience: Minimum of 2 years of professional working experience in a business, office, or clerical environment.
Education: High School Diploma or equivalent.
Technical Savvy: Comfortable operating office hardware (photocopiers, digital scanners) and navigating basic computer files to retrieve documents.
Software Proficiency: Proficient in Microsoft Office suite (Outlook, Teams, Excel).
Soft Skills: High level of organization, strong attention to detail, excellent communication, and the ability to work independently with minimal supervision.
Nice-to-Have Skills
Prior experience in document filing, records management, or data entry is considered a strong asset.
