In this dynamic Office Admin/Floater role, your core focus involves end-to-end order tracking and customer communication. Working extensively with enterprise CRM software, SAP systems, and internal shipping logs, you will proactively track customer orders, evaluate delivery timelines, and flag potential bottlenecks early. When unexpected delays arise, the Office Admin/Floater collaborates directly with internal departments—including logistics, production, and repair services—to resolve scheduling roadblocks. You will maintain clear, proactive lines of communication with clients so they can plan necessary plant maintenance and operational shutdowns with confidence.

Within our client’s business administration framework, you will serve as a cross-trained operational anchor across multiple key functions. When stepping in as a backup for the shipping coordinator, you will arrange freight transport, handle essential shipping documentation, and collaborate directly with warehouse packers to capture accurate dimensions and weights. In supporting the repair sales and inside sales teams, the Office Admin/Floater generates accurate quotes from technical inspection reports, handles incoming client calls, processes orders for replacement drives, and assists customers with technical information inquiries.

Responsibilities
• Monitor end-to-end order progression continuously using SAP, CRM tools, and shipping logs to verify delivery schedules.
• Identify potential supply chain or fulfillment delays early and collaborate with internal departments to expedite delivery dates.
• Provide proactive status updates to customers regarding order delays, enabling them to schedule facility shutdowns and maintenance accurately.
• Serve as the primary backup for the Shipping Coordinator by preparing freight documentation and scheduling transport carriers.
• Coordinate directly with warehouse packing staff to collect accurate shipment details, including total weight, dimensions, and freight type (air vs. truck).
• Act as backup support for Repair Sales by generating quotes from inspection reports and processing customer authorizations for repair go-aheads and replacement drives.
• Provide backup coverage for Inside Sales by answering phone and email inquiries for replacement drives, new equipment, and technical parts.
• Assist clients with technical product information and direct complex queries to appropriate engineering specialists.
• Execute additional general business administration and administrative support tasks as required by management.
Qualifications
• High School Diploma or equivalent educational credential required.
• Minimum 1 year of hands-on experience in customer service, administrative support, or order tracking roles.
• Demonstrated proficiency utilizing CRM systems and SAP software for order tracking and inventory lookup.
• Strong written and verbal communication skills with a customer-centric mindset.
• Excellent organizational abilities, attention to detail, and time management skills in a fast-paced environment.
• Flexibility and strong problem-solving skills to transition smoothly between administrative, logistics, and sales support roles.
• Comfort interpreting technical product information within the industrial automation sector.
• Familiarity with shipping procedures, freight arrangements, and logistics paperwork is strongly preferred.
• Ability to work fully on-site at the Delta facility during standard operating hours.
