Responsibilities
Job Responsibilities:
Coordinate all administrative tasks for the Human Resources department, including updating communication boards, Team Member list, organizational chart, extension list and organizing department files etc.
Assist other departments with administrative tasks as required.
Support office maintenance activities:
Assist in monitoring office facilities and equipment.
Communicate with Landlord regarding facility issues
Ask for quotes, help arrange repair work when needed
Coordinate with repair staff and vendors.
Assist in recruitment processes, including posting job advertisements, pre-screening candidates, scheduling interviews, and conducting reference checks
Facilitate the onboarding process for new employees
Serve as an active member of the Joint Health and Safety Committee, organizing monthly workplace inspections and quarterly meetings
Administer Service Awards
Assist with visitor preparations, such as booking hotel rooms and car rentals, preparing welcome signs and name cards, and arranging lunches
Answer telephone calls, screen and direct inquiries, and respond to general questions from dealers and customers.
Process all incoming and outgoing mail and courier shipments, and maintain the postage machine.
Organize and support social events, Corporate Social Responsibility (CSR) activities, and donation campaigns.
Order and maintain 407 transponders
Renew dealer plate stickers annually.
Order office supplies and business cards, and maintain supply and kitchen cabinets.
Perform other duties as required.
Qualifications
Qualifications:
Business Administration diploma in a related field is required
Substantial office clerk/administrative work experience
Highly proficient with Microsoft Office programs (Word, Excel, Outlook, PowerPoint)
Able to successfully interact with others at all levels of the organization to develop effective working relationships
Strong written and verbal communication skills
Ability to maintain organized records
Ability to multi-task in a fast-paced environment
Ability to work accurately and pay close attention to details with frequent interruptions
Ability to exercise flexibility, initiative, good judgement, discretion and confidentiality in all matters.
