We are currently seeking a dynamic and detail-oriented Office Administrator for a permanent position in Toronto (Eglinton West area). Responsibilities
• Manage general office procedures, including handling incoming phone calls, greeting visitors, and managing couriers to ensure professional first impressions.
• Maintain the sample room with high standards of organization and cleanliness, ensuring all product samples are up-to-date and easily accessible for the sales team.
• Coordinate the ordering and inventory management of office supplies, ensuring the team has the tools and amenities (including kitchen supplies) needed to operate efficiently.
• Provide exceptional customer service by handling inquiries and resolving complaints in a professional and timely manner.
• Organize and coordinate office events and team lunches to foster a positive company culture.
• Facilitate the shipping of sales samples via UPS and coordinate with the warehouse to request necessary stock for sample building.
• Assist the accounting department by matching accounts payable invoices and ensuring accurate record-keeping.
• Support the sales team by assisting with the completion of sales submission forms and building physical sales samples for customer presentations.
• Provide ad-hoc administrative support to the sales, logistics, and operations teams as needed, including data entry, file formatting, and vendor form completion.
Qualifications
• 2 to 3 years of experience in an administrative or office support role.
• Must be available to work in-office 5 days a week in Toronto.
• value relevant experience and the right attitude.
• Must be comfortable performing physical tasks related to sample management (lifting small boxes, organizing shelves).
• Proficiency in Microsoft Office Suite (specifically Outlook and Excel) is essential for daily correspondence and data management.
• Strong data entry skills with a high degree of accuracy and attention to detail.
• Excellent organizational and time-management skills, with the ability to prioritize tasks in a very fast-paced environment.
• Adaptability and a willingness to learn new processes and software quickly.
• Strong verbal and written communication skills for interacting with internal teams and external partners.
• Ability to work independently and take initiative to solve problems as they arise.
• Familiarity with Microsoft Teams for internal collaboration.
• Knowledge of QuickBooks is considered a strong asset.
• Experience with tools such as ChatGPT Pro or Canva is a "nice to have" but not required.
