The Office Coordinator, also known as the Service Assistant, plays a key role in ensuring smooth and efficient internal processes. This autonomous, quick-thinking, and curious individual will be responsible for supporting the service team and administration, maintaining accurate communication and documentation across departments, and demonstrating a solution-oriented approach.
**Key Responsibilities:**
In charge of incoming phone calls.
* Notify the Controller once all readings are collected and invoices are ready to be issued.
* Ensure all service contracts are entered correctly in the system for accurate invoicing.
* **Toner & Parts Order Management:**
* Place, manage, and track toner orders from initiation to shipping.
* Monitor toner and parts requests received via PrintFleet alerts, customer emails, and phone calls.
* Coordinate with the Service Coordinator to maintain toner and parts inventory, utilizing a Kanban system for restocking.
* **Call Handling & Service Logging:**
* Answer all incoming calls and route them to the appropriate team member.
* Log all service requests received by phone or email into the Servex system promptly and accurately.
* **Email Monitoring & Routing:**
* Monitor the general service inbox and forward messages to the correct team members to ensure timely response and follow-up.
**Qualifications & Skills:**
* Excellent communication and customer service skills.
* Strong organizational skills with attention to detail.
* Ability to work independently and prioritize tasks in a fast-paced environment.
* Comfortable with phone handling and multitasking.
* Intermediate Excel skills and adeptness with various software.
* Familiarity with PrintFleet, Servex, and basic office software is an asset.
* Acomba knowledge is a plus.
* Bilingual (French/English).
