As our Office Coordinator, you’ll be the ultimate multi-tasker. You’ll partner closely with our Reception and Office Management teams to ensure our space is vibrant, our guests are happy, and our internal operations are organized. From high-level administrative support to helping plan the next big social event, you’ll have your hands in a bit of everything.
Position: Office Coordinator

Employment Type: Contract (12-month maternity leave coverage)
Location: Downtown Toronto (Front Street West & Bay Street)
Hours: Monday to Friday, 8:30 am - 5:00 pm (37.5 hours per week)
Salary: $25/hour
Work Style: Fully in office, 5 days per week

Responsibilities
1. The Face of the Office
- Greet clients, visitors, and new hires with a smile, making sure they feel at home from the moment they walk in.
- Help set up workstations for new team members and lead office tours to show them the ropes.
- Step in to cover the front desk, ensuring a professional and seamless experience during breaks or vacations.
2. Behind-the-Scenes Operations
- Keep our shared drives and documentation updated and organized.
- Scan invoices and help manage approvals so our vendors stay happy.
- Draft internal emails, track event attendance, and keep the team "in the know."
3. Atmosphere & Logistics
- Keep our meeting rooms, kitchens, and common areas looking sharp and fully stocked.
- Assist our Social Committee and help run fundraising initiatives like the United Way.
- Manage Outlook schedules, coordinate catering, and handle the "tech and snacks" setup for important meetings.
4. Safety & Maintenance
- Act as a champion for workplace safety by maintaining First Aid certification and participating in safety training.
- Be the point person for reporting maintenance needs or equipment issues.
Qualifications
- Highly adaptable and excellent multitasking skills
- Ability to work under pressure in a fast-paced environment
- Handle sensitive and confidential information
- Exceptional customer service skills, including written and verbal communication
- At least 2 years working in an office support role
- Ability to work 5 days in office
