Responsibilities
🏢 Office Management & Coordination
Serve as the primary point of contact for all office operations.
Liaise with the building landlord and ensure smooth facility management.
Oversee meeting room technology, office equipment, and daily maintenance.
Manage office supplies and ensure the workspace is fully functional and welcoming.
Coordinate visitor logistics, reception needs, and mail handling.
Support Environmental Health & Safety (EHS) practices within the office.
📅 Administrative & Leadership Support
Manage calendars, standing meetings, off-sites, and ad hoc planning for the leadership team.
Support team events, internal meetings, reservations, and administrative workflows.
Provide executive-level administrative support to the General Manager.
Assist with small projects and process improvements as needed.
Maintain document organization across teams using Microsoft Teams and SharePoint.
🤝 Supplier & Vendor Management
Assist with onboarding and setup for new suppliers and vendors in collaboration with global procurement.
Track contract timelines and ensure timely approvals and signatures.
Follow up on invoices, payments, and vendor communications.
📣 Internal Communications & Compliance
Maintain visitor logs and support training for external-facing teams.
Update and monitor training plans across the commercial organization.
Lead onboarding and training coordination for new team members.
Qualifications
What You Bring
Experience in office management or administrative coordination (corporate or life sciences experience is an asset).
Excellent organizational skills and a strong attention to detail.
Ability to manage multiple priorities with calm, professional efficiency.
Proficiency with Microsoft Office Suite and digital collaboration tools.
Strong communication skills, both written and verbal.
A collaborative mindset and the ability to work independently.
A proactive, results-oriented approach with eagerness to learn and grow.
