Responsibilities
- Invoicing and Financial Administration: Administer all aspects of invoicing, including processing terminal invoices, verifying values, and issuing purchase order (PO) numbers to prevent overcharging. Enter all invoice information into the imaging system and follow up on payables with the internal accounts receivable (AR) team to ensure timely payment.
- Driver Payroll Management: Use a fully automated payroll system to manage payroll for all city drivers. This includes processing payroll corrections, answering driver questions, and issuing back payments via EFT system or on paycheques.
- Health and Safety Support: Handle clerical duties for health and safety meetings, including taking notes and ensuring all forms are updated with the latest health and safety details. Complete monthly fire alarm tests and serve as the first point of contact for these tests.
- Filing and Records Management: Process and organize employee files, including doctor's notes and sick notes. Print copies of files and ensure they are placed with the correct employee records.
- Building Maintenance Administration: Perform administrative duties related to building repairs, including booking repairs and calling contacts for plumbing and HVAC maintenance.
- Ad Hoc Administrative Tasks: Complete and file KPI productivity reports, provide backup support to the payroll coordinator, and assist with other administrative duties as assigned.
Qualifications
- 3-5 years of experience in an administrative or operations support role
- MS Office, familiar with Google- email / g-docs
- Strong communication skills, with the ability to handle a variety of inquiries from drivers and internal teams.
- Familiarity with AS 400 preferred
- Accurate and efficient administration skills and strong attention to detail.
- Confidentiality, punctuality, good interpersonal and communication skills
- Ability to work independently with little supervision
- Ability to work with people at all levels in the organization
