Responsibilities
The core focus of this role is to accurately and efficiently prepare documents for scanning, ensuring the integrity and proper tracking of sensitive financial files.
Document Preparation and Matching: Locate customer profiles in the digital system based on paper files, print necessary digital information, and accurately insert it into the corresponding physical folder.
Data Entry and Tracking: Precisely log customer details, file identifiers, and preparation status into spreadsheets/systems for end-to-end tracking.
Workflow Management: Organize, box, and prepare completed folders for efficient scanning and shipping, ensuring all materials are complete and secure.
Service Level Adherence: Prioritize and manage a defined workload to consistently meet Service Level Agreement (SLA) requirements for service quality and productivity.
Compliance and Escalation: Adhere to defined enterprise frameworks and confidentiality protocols. Investigate and escalate any non-standard or high-risk activities as appropriate.
Coordination: Work closely with the scanning team and other departments to ensure a smooth and timely workflow.
Qualifications
Required Skills & Experience (Must-Haves)
Experience: 0–2 years of overall work experience.
Education: High school diploma.
Technical Proficiency: Competence in MS Suites (Outlook, and Excel for accurate data entry/filling cells).
Data Management: Proven experience in Data Entry and completing spreadsheets with a high degree of accuracy.
Process Acumen: Previous professional experience working with SLAs (Service Level Agreements) or working within a productivity-driven environment.
Work Environment: Ability to thrive and maintain focus in a fast-paced, production-oriented environment.
Physical Requirement: Able to work in a physical role, which includes lifting and moving boxes and performing repetitive hand/wrist movements.
Soft Skills: Strong attention to detail, exceptional organizational skills, and effective time management.
Preferred Assets (Nice-to-Haves)
A background in compliance or risk management.
Previous professional filing or records management experience.
