As a key member of our back-office operations, you will be responsible for ensuring that all insurance documentation is complete and accurate for mortgage funding.
The Operations Officer manages the critical administrative flow of mortgage documentation. You will spend your day reviewing files, interacting with solicitors, and ensuring all data meets strict quality and risk standards before funding occurs. This role is 100% back-office, making it ideal for someone who excels in focused, high-accuracy environments.
Schedule: Monday–Friday, standard business hours (37.5 hours/week).
Hybrid Flexibility: * Training Period: 5 days on-site for the first 4 weeks.
Post-Training: Hybrid model (2 days on-site, including Wednesdays) - Will convert to 4 days in office in the future.
Location: Edmonton
Pay Rate: $23.13 per hour.

Responsibilities
Documentation Management: Receive, review, and verify insurance documentation to ensure files are 100% complete for the day of funding.
Stakeholder Communication: Act as a point of contact for solicitors to resolve missing information or documentation discrepancies.
Risk & Compliance: Maintain a high level of diligence to mitigate risk, ensuring all files adhere to internal policies and regulatory requirements.
Data Entry: Accurately update internal systems with file statuses and financial data.
SLA Adherence: Meet strict daily Service Level Agreements (SLAs) to ensure timely funding for clients.
Qualifications
Required:
Education: Post-secondary degree or diploma.
Experience: 2–4 years of experience in banking, accounting, bookkeeping, or a real estate law firm environment.
Technical Skills: Proficiency in MS Office Suite and strong data entry skills.
Operational Skills: Proven experience meeting performance metrics/SLAs and an understanding of risk management.
Communication: Strong verbal and written communication skills for professional interaction with legal stakeholders.
Preferred (Nice-to-Have):
Experience with mortgage funding or real estate law.
Prior experience in a high-volume credit or adjudication environment.
