Responsibilities
Payroll Administration
•Administer bi-weekly payroll for salaried and hourly employees using ADP Workforce Now
•Validate hours worked, earnings, deductions, bonuses, commissions, and payroll adjustments for accuracy
•Partner with HR and Hiring Managers on onboarding, terminations, and compensation updates
•Prepare and remit monthly, quarterly, and annual government filings (e.g., WSIB, WCB, EHT)
•Record and reconcile payroll journal entries
•Generate and reconcile monthly commission statements and quarterly reports for management
•Manage year-end payroll processes including T4s, ROEs, T2200s, and other statutory reporting
•Ensure payroll compliance with federal and provincial laws, tax regulations, and internal policies
Benefits Administration
•Serve as the main point of contact for all employee benefits programs (health, dental, life, disability, etc.)
•Enroll new employees and manage changes due to life events or terminations
•Address employee inquiries regarding benefit eligibility and coverage
•Liaise with Canada Life for plan administration, issue resolution, and renewals
•Prepare and reconcile monthly benefit premium payments
Pension Plan Administration
•Manage administration of the company’s group pension and/or retirement savings plans
•Track eligibility and invite qualified employees to enroll with appropriate documentation
•Coordinate enrolments, contribution changes, and terminations with Canada Life
•Prepare and reconcile monthly pension contribution reports
•Conduct quarterly reconciliation between ADP reports and pension provider data to ensure accuracy
•Provide support for pension audits and annual filing requirements, including the Annual Information Return (AIR)
•Ensure compliance with pension plan rules and relevant regulatory standards
Other Responsibilities
•Maintain accurate employee records and support internal/external audits
•Keep an organized and secure filing system for all payroll and benefits documentation
•Prepare periodic reports (monthly, quarterly, annually) related to payroll and benefits
•Perform timely reconciliations of salaries, vacation accruals, and pension contributions
•Support special projects or other ad-hoc tasks as required
Qualifications
Post-secondary education in Payroll, Accounting, Human Resources, or a related field
•PCP (Payroll Compliance Practitioner) certification is required
•Minimum 5 years of experience in payroll and benefits administration
•Proficient in ADP WorkForce Now (WFN) – mandatory
•Solid understanding of Federal and Provincial Employment Standards
•Experience in managing group pension or retirement savings plans
•Experience with year-end payroll processing and government filings
•Advanced proficiency in Microsoft Excel and other Microsoft Office applications
•High level of accuracy, attention to detail, organization, and confidentiality in handling sensitive data
•Strong analytical skills with the ability to interpret payroll data and support decision-making
•Effective interpersonal skills with the ability to build strong working relationships
•Accountable and proactive, with a strong sense of ownership over responsibilities
•Clear and confident communicator, capable of engaging with both employees and Management
