Responsibilities
- Provide admin support to Project Managers and Site Superintendents across multiple projects
- Assist with initial project setup, including implementing logical directory structures, rigorous document control systems, and standardized company templates
- Coordinate vital project communications seamlessly between internal management teams, external consultants, essential subcontractors, and high-level clients
- Schedule, organize, and actively support key project meetings, including the thorough preparation of agendas and the meticulous recording of meeting minutes
- Maintain, manage, and audit all critical project documentation, including complex contracts, subcontracts, and official site instructions
- Track and proactively follow up on all outstanding RFIs, pending submittals, and necessary multi-level stakeholder approvals
- Coordinate essential subcontractor documentation, specifically verifying the validity of insurance certificates, WSIB/WCB clearance, and mandated safety records
- Other administrative duties as assigned
Qualifications
- 2+ years of experinece in a project administration or similar role
- Post secondary education in Business Administration or Project Management certification
- Familiarity with the construction industry will be considered an asset
- Experience with construction or project management software is an asset (Adobe, Bluebeam)
- Proficiency in Microsoft Office
- Strong interpersonal and communication skills
- Strong organizational and document management skills
- Excellent written and verbal communication skills
