•Manage all administrative aspects of business engagements, serving as the knowledgeable focal point for project activity and communication.
•Prepare and format high-quality written materials, including proposals, position specifications, status reports, and appraisals.
•Organize and collect data for complex reports, ensuring accurate proofing, binding, and timely delivery.
•Handle sensitive and confidential information with extreme discretion when communicating with external partners and clients.
•Maintain and update proprietary databases and CRM platforms like Salesforce with a high emphasis on information quality and data integrity.
•Open and track business opportunities, ensuring all development activities are documented and reported accurately to senior consultants.
•Coordinate complex scheduling and travel arrangements, including international travel profiles and multi-party video conferences.
•Manage the full accounting lifecycle of a project, including opening and closing assignments, accurate coding, and fee allocation.
•Process client billing, manage invoices, and monitor accounts receivables to assist in timely collections.
•Submit detailed expense reports for consultants and process reimbursements for external candidates.
•Run weekly aging reports and draft billing adjustments as required by the business.
•Participate in regular staff meetings to stay aligned with evolving technology and organizational processes.
Qualifications
•5-10 years of experience in an Administrative or Project Management role, ideally within a Professional Services organization.
•A bachelor’s degree in business or a related field is highly preferred (or a degree currently in progress).
•Proven knowledge of business terminology and professional office protocol.
•Required proficiency in MS Office; preferred experience with Salesforce and Concur.
•Demonstrated ability to meet strict deadlines and stay focused in a highly stimulating environment.
•Experience in an environment requiring high-volume document production and meticulous attention to detail.
•Must be able to work on-site in Calgary Downtown as required for meeting support.
