Responsibilities
- email correspondence and follow-ups with clients
- attend meetings to give and receive updates on current projects
- work with internal staff in other departments when needed
- complete invoices using templates - heavy Excel usage for this
- scanning, filing, and other clerical duties
- data entry in templates, including contracts
- traveling to other locations (TTC accessible) to perform related tasks such as taking photos or meeting with contractors
-read/be familiar with Building Tenant and Construction Manuals - bring to the attention of Property Management & Construction Management team any discrepancies or "old" information to be updated. This relates to role in reviewing Work Permits for compliance.
-review and process Work Permits for contractors
-attend deficiency walk throughs and proactively follow up with Contractor for photo documentation and updated deficiency list at end of the week.
-take ownership of closeout phase by cross referencing documents submitted are complete as per the companies Closeout Checklist
Save project documents into Teams project folders and rename to follow GWLRA naming guidelines
Take ownership of project start up requirements by cross referencing documents submitted are complete as per GWLRA Startup checklist.
Confirm Certificates of Insurance (COI) correctly identified insured and additionally insured as per property. Note expropriation date on PDF saved name
Assist Construction team with scheduling meeting invites
Assist Construction team with scanning and saving project documents
Assist Construction team by requesting CAD and PDF as-builts from Archidata site
Assist Construction team with review of invoices, coordination of inputs into Yardi/Construction Manager as directed
Qualifications
- 2-3 years of admin or relevant experience
- strong in Microsoft Office suite, specifically Excel
- tech savvy and has a strong understanding of computers
- Construction or property management background is an asset
- knowledge of Yardi software is an asset
- excellent written and verbal skills
- attention to detail
-ability to work independently
