Responsibilities
Coordinate ongoing projects, ensuring deadlines are met and documentation is complete
Manage professional email correspondence and conduct timely follow-ups with clients and contractors
Attend internal and external meetings to provide and receive project updates
Collaborate with other departments (finance, legal, operations) to support cross-functional efforts
Process invoices and financial documentation using Excel templates
Maintain digital and paper records – scanning, filing, and general administrative duties
Assist with data entry and creation of project contracts and reports
Occasionally travel to other locations within the city (TTC accessible) to take site photos, meet with contractors, or collect project data
Track project timelines and escalate issues when necessary
Support reporting and progress updates for senior management
Qualifications
Qualifications:
2–3 years of experience in administrative support, coordination, or project-related roles
Strong proficiency in Microsoft Excel and other MS Office tools
Tech-savvy with the ability to learn new systems and tools quickly
Background in construction, real estate, or property management considered a strong asset
Familiarity with Yardi software is a bonus
Excellent communication skills – both written and verbal
Exceptional attention to detail and time management
Comfortable working independently and taking initiative
Ability to multitask and prioritize in a fast-paced environment
