This is an administration-heavy role ideal for someone who enjoys organization, follows systems meticulously, and takes ownership of their work. You'll be supporting a Senior Project Manager and collaborating with internal departments and external vendors to keep projects moving smoothly.
This is a 1-year contract, not a stepping stone role – ideal for someone looking to fully commit to an administrative position

Responsibilities
Manage email communications and follow-ups with clients and contractors
Attend team meetings to provide updates and capture action items
Collaborate with internal departments for cross-functional support
Prepare and submit invoices using Excel-based templates (heavy Excel use)
Handle document scanning, digital filing, and general clerical tasks
Enter and maintain data in templates, including contract documentation
Review Work Permits for contractor compliance with building manuals
Identify outdated information in Building Tenant & Construction Manuals
Conduct deficiency walkthroughs, follow up for photo and list updates
Manage the project closeout process using the company's checklist
Ensure proper saving/naming of project files in Teams as per guidelines
Oversee project startup by ensuring required documents are submitted
Validate Certificates of Insurance (COI) for correct property references
Schedule and manage meeting invites for the Construction team
Support the team with document scanning, saving, and data organization
Request and track CAD/PDF as-built drawings via Archidata
Assist with invoice reviews and data input into Yardi/Construction Manager
Qualifications
2–3 years of administrative experience, preferably in construction or property management
Proficient in Microsoft Office, particularly Excel
Tech-savvy with strong computer skills
Experience with Yardi is an asset
Excellent written and verbal communication
Strong attention to detail and ability to work independently
Comfortable making phone calls and taking initiative
