In this Purchasing Assistant position, you will be responsible for the end-to-end purchase order process. From creating POs based on MRP requirements to maintaining accurate trade agreements in D365, the Purchasing Assistant ensures every detail is captured. This role requires a blend of analytical thinking and strong communication skills to resolve supplier discrepancies and manage inventory levels effectively.

Responsibilities
• Create and issue purchase orders (POs) based on MRP requirements to support manufacturing & logistics workflows.
• Ensure accuracy in item descriptions, quantities, pricing, and delivery terms within the system.
• Maintain systematic records of all POs and follow up on payments with the accounts receivable team.
• Collaborate with Production and Operations to identify project needs and ensure materials arrive on time.
• Create and update trade agreements and maintain vendor profiles in the D365 ERP system.
• Liaise with suppliers to update terms, pricing, and delivery schedules while resolving discrepancies promptly.
• Monitor inventory levels, including shorts, obsolete, or expiring materials, in collaboration with inventory control.
• Track incoming orders and deliveries in coordination with the logistics support department.
• Manage the Certificate of Analysis (COA) process and collect necessary documentation from vendors.
• Identify cost-saving opportunities and manage miscellaneous supply purchasing to control expenses.
• Ensure all procurement activities comply with company policies, food safety requirements, and ethical standards.
Qualifications
• Bachelor’s degree in Business Administration, Supply Chain Management, or a relevant field preferred.
• 1-2 years of experience as a Purchasing Assistant, Purchasing Administrator, or in a similar procurement role.
• Previous experience in Food, CPG, or manufacturing environment is highly preferred.
• Demonstrated ability to manage high-volume purchase orders with extreme attention to detail.
• Strong analytical and problem solving skills
• Excellent communication skills both written and verbal
