Responsibilities
Operational Excellence & Admin Support
Streamline Workflows: Oversee the daily rhythm of the office, ensuring internal procedures are followed and improved.
Executive Assistance: Act as a dedicated support pillar for leadership and the broader team to enhance productivity.
Schedule Management: Master the logistical side of the business by organizing meetings, managing calendars, and syncing internal timelines.
Information Integrity: Uphold high standards for data management by maintaining meticulous digital archives and physical records.
Documentation & Reporting: Draft high-quality briefings, spreadsheets, and internal communications with precision.
Resource Management: Liaise with vendors and monitor inventory to ensure the team always has the tools they need.
Guest Relations & Front-of-House
Brand Ambassadorship: Serve as the first point of contact, welcoming clients and partners with a high degree of professionalism.
Communication Hub: Efficiently filter and route high-volume inquiries via phone and email.
Logistics Oversight: Direct the flow of all incoming and outgoing shipments, mail, and sensitive deliveries.
Environment Maintenance: Ensure all common areas and the reception zone remain organized, inviting, and representative of our company standards.
Qualifications
Language Mastery: Full professional fluency in both English and French (written and verbal) is a non-negotiable requirement.
Technical Proficiency: Advanced command of the Microsoft Office Suite, with a particular focus on Excel data, Word formatting, and Outlook scheduling.
Organizational Prowess: Proven ability to manage complex timelines, prioritize competing tasks, and maintain a high level of productivity.
Interpersonal Excellence: A natural communicator who can build rapport quickly and represent the company with poise.
Quality Focused: A sharp eye for detail combined with a proactive "can-do" attitude and unwavering reliability.
Adaptability: Comfortable navigating multiple priorities simultaneously within a structured, high-standard corporate environment.
