In this role, you will provide warm, high-touch front desk reception services, manage meeting room bookings to prevent room clashes, receive guests, and route incoming inquiries. Responsibilities
-Provide professional, in-office reception support five days per week
-Welcome visitors and staff, ensuring a positive and professional experience
-Answer, screen, and direct incoming phone calls and inquiries
-Respond to and route phone, email, and in–person inquiries to the appropriate departments or contacts
-Maintain visitor logs and notify staff of guest arrivals
-Receive, sort, and distribute incoming mail, packages, and courier deliveries
-Prepare and coordinate outgoing mail, courier shipments, and internal documents
-Perform general administrative duties, including data entry, filing, scanning, and photocopying
-Maintain a clean, organized, and welcoming reception area
-Monitor office and kitchen supplies and assist with inventory replenishment
-Ensure common areas, including the kitchen, remain clean, stocked, and well organized
-Liaise with vendors, couriers, and service providers to support daily office operations
-Coordinate maintenance and repair requests in collaboration with HR and facility management
-Address and escalate office-related concerns and requests in a timely and professional manner
-Provide administrative support to HR, Finance, and Operations teams as needed
-Assist with the coordination of staff events, meetings, and team-building activities
-Support additional office administration and operational tasks and assigned
Qualifications
-Any length of previous reception experience
-Excellent verbal and written communication skills, with the ability to provide exceptional customer service and act as professional first point of contact
-Strong interpersonal skills with the ability to build positive relationships and interact effectively with stakeholders, visitors, and colleagues
-Demonstrated professionalism, discretion, and sound judgement when handling inquiries, concerns, and confidential information
-Exceptional organizational skills with the ability to manage multiple priorities, maintain accurate schedules, and coordinate meeting room bookings
-Proven ability to multitask in a fast-paced environment while balancing reception, administrative, and communication responsibilities
-Proficiency with MS Office and the ability to learn and use office technology and equipment
-Strong problem solving skills and the ability to respond effectively to unexpected situations and changing priorities
-Flexible and adaptable, with a willingness to support a variety of administrative and reception-related tasks as needed
