We are currently seeking a highly organized and detail-oriented Nightshift Warehouse Administrator to join our team. In this role, you will serve as the administrative backbone of our night operations, ensuring smooth communication and data flow between the office and the warehouse floor. You will utilize your Warehouse Management System (WMS) expertise to process orders, generate pick sheets, check inventory levels, and handle vital logistics documentation. Responsibilities
Warehouse & WMS Administration
•Utilize Warehouse Management Systems (WMS) to create pick sheets, check inventory levels, and process customer orders accurately.
•Receive, verify, and enter new orders into the system (via web, email, or fax) as requested by the CSR team.
•Release new orders to the warehouse shipping floor and update open order reports daily.
•Confirm inventory status with the pick, pack, and warehouse teams; coordinate required changes if necessary.
•Provide warehouse staff with compiled receiving documentation so they can physically verify inbound products; reconcile discrepancies as needed.
Logistics Support
•Print labels for all inbound shipments and validate every item on receiving documents to ensure paperwork matches the physical inbound packing slips.
•Scan, email, and file Bills of Lading (BOLs) for confirmed shipments and received orders by the end of each shift.
•Accurately complete all BOLs for outbound shipments including ship date, P.O. Number, delivery method, trailer number, and description of goods.
•Notify management and customers immediately regarding any discrepancies in the receipt of finished goods.
•Match shipping documents to their corresponding shipped orders.
Office Administration & Customer Service
•Act as the primary point of contact during the night shift, responding to emails and addressing inquiries from clients, business partners, and internal departments.
•Ensure highly effective and clear communication (both verbal and written) from the office to the warehouse floor.
•File all inbound, outbound, and other necessary paperwork.
•Assist in the compilation of data to create special reports, letters, and memos as required by the CSR team or Management.
•Manage office supply inventory and assist with preparing or receiving customer outbound packages/courier services.
•Observe and report any security issues to the Supervisor/Manager.
•Support the organization's Continuous Improvement Plan and actively promote a positive, high-quality work environment.
Qualifications
Qualifications of the Warehouse Administrator:
• HIGH level of attention to detail
• HGH level of customer service
• 1-2 years of office administration experience in a warehouse environment.
• Must be proficient in both written and spoken English.
• Proven ability to work as a team or individually.
• Excellent organizational skills
• Must be a self-starter and a team player.
• Exceptional computer knowledge with respect to Microsoft Office Suite (Outlook, Word, Excel, PowerPoint etc.)
