Schedule: Full-time (37.5 hours / week)
Hourly Rate: $20.00 to $25.00 / hour (based on experience)
Responsibilities
Administration & Communication:
Warmly greet and assist visitors, clients, and employees. Answer and route incoming calls, emails, and general inquiries.
Manage incoming and outgoing mail, courier shipments, and deliveries.
Office Operations & Facilities Management:
Manage stocking and inventory for the cafeteria and 3rd-floor kitchenette (coffee, snacks). Ensure meeting rooms and shared areas are clean, available, and ready for use.
Maintain supplies for office equipment and print rooms.
Coordinate maintenance for gym equipment, safety gear, and holiday decorations.
Oversee the conference room scheduling system, recycling program, and secure document destruction (shredding).
Scheduling & Coordination:
Organize various employee events (e.g., flu vaccine clinics, tire change days, special theme days). Coordinate catering, lunches, and meeting requests for corporate events.
Financial & Administrative Support:
Process invoices, purchase orders, and expense reports according to company policy.
Track office-related expenses (supplies, coffee, paper) and assist with budget tracking. Prepare basic reports, spreadsheets, and presentations.
Provide ad-hoc support to the HR team as needed.
Qualifications
Bilingualism required (English and French, written and spoken). (for external communication with colleagues and clients outside of canada)
Strong organizational, time-management, and multi-tasking skills with high attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace.
Familiarity with standard office equipment (printers, scanners, phone systems) and quick ability to learn new software.
Professional, approachable, and customer-service-oriented demeanor.
Calm under pressure with the ability to adapt to changing priorities.
