We are seeking a dynamic Administrative Assistant II to provide dedicated support to two Vice Presidents and assist a collaborative 30-member team. Acting as a key point of coordination, you will balance calendar management, event planning, and executive support with high-touch internal communications. Position Type: Contract (12 Months, with high potential for Extension or Conversion)
Location: Toronto, ON (Hybrid — 4 days/week onsite in Downtown Toronto; Wednesday & Thursday mandatory)
Dynamic: 50% back-office support / 50% active communication and coordination across internal teams.
Schedule: Monday to Friday (Choice of 8:00 AM – 4:30 PM or 9:00 AM – 5:00 PM)
Pay Rate: $22.79hr

Responsibilities
Executive & Calendar Support
Provide dedicated, high-level administrative support to two Vice Presidents, maintaining dynamic calendars and scheduling meetings seamlessly.
Act as the primary point of contact for incoming inquiries, handling requests independently or re-directing them as appropriate.
Maintain strict confidentiality when handling sensitive correspondence, records, and executive communications.
Coordination & Event Planning
Organize and facilitate internal team meetings, town halls, and leadership sessions.
Lead the planning and execution of team events, celebrations, and seasonal/holiday functions.
Arrange meeting logistics, including room bookings, catering/refreshments, agendas, and technical setup.
Operational Support
Prepare, proofread, and format documents, including reports, presentations, tables, and correspondence using the MS Office Suite.
Assist with operational tasks such as tracking expense reports, processing invoices, distributing communications, and maintaining team files.
Identify process improvements in daily workflows to ensure efficiency and high-quality administrative support.
Qualifications
Experience: 2–4 years of administrative support experience, ideally supporting senior managers or executive-level leadership.
Education: College diploma or higher preferred (High School Diploma / GED required).
Technical Skills: Advanced proficiency in Microsoft Office (Outlook, Teams, Excel, PowerPoint, Word).
Communication: Exceptional verbal and written communication skills with strong interpersonal polish.
Organization: Superior multi-tasking and organizational abilities with unwavering attention to detail.
Work Style: Ability to work independently, manage shifting priorities, and collaborate effectively within a team structure.
Nice-to-Have
A proactive mindset with a proven ability to anticipate executive needs.
High initiative and willingness to take ownership of administrative processes and events.
