Position Title: Administrative Assistant I
Location: Toronto, ON (Hybrid — 4 days/week onsite Wednesday & Thursday mandatory)
Work Schedule: Monday to Friday, 8:00 AM – 4:30 PM or 9:00 AM – 5:00 PM
Position Type: 12-Month Contract (Possibility of Extension and Conversion)
Pay Rate: $19.77

Responsibilities
Executive & Team Support
Manage and maintain complex calendars for VPs, ensuring efficient scheduling and prioritizing conflicting priorities.
Coordinate internal meetings, town halls, leadership sessions, and team events (including holiday functions and celebrations).
Act as a central point of contact for internal inquiries, directing communications efficiently and professionally.
Operational & Administrative Tasks
Prepare, format, and organize documentation including presentations, basic reports, spreadsheets, charts, and expense reports.
Coordinate logistics for meetings: facility bookings, pre-meeting materials, audiovisual equipment, and refreshments.
Balance back-office tasks (data tracking, file maintenance, correspondence) with active communication and coordination (50/50 split).
Exercise strict confidentiality and discretion when handling sensitive information.
Continuously look for opportunities to streamline workflow and improve daily administrative procedures.
Qualifications
Education & Experience
Education: College diploma or higher preferred (High School Diploma/GED required).
Experience: 0 to 2 years of administrative support experience (Candidates with over 3 years of overall experience will not be considered for this entry-to-junior level role).
Technical & Hard Skills
Software Proficiency: Advanced skills in Microsoft Office Suite (Outlook, Teams, Excel, PowerPoint, and Word).
Communication: Exceptional verbal and written communication skills.
Organization: Strong organizational ability with superior attention to detail and accuracy.
Independence: Proven capability to manage time effectively and work independently with minimal supervision.
Soft Skills & Interpersonal Attributes
Excellent interpersonal and relationship-building abilities.
