Responsibilities
• Drafting contracts and correspondence
• Preparing presentations, reports, and opening files.
• Updating the dashboard in Excel
• Preparing drafts of listings for the marketing department
• Coordinating daily conference calls
• Compiling information for files
• Performing simple translations
• Completing transaction sheets in Excel
• Maintaining a chronological record of files and deadlines
• Managing the marketing process for listings on various websites
• Ordering and tracking promotional materials
• Monitoring the listing and transaction processes
• Conducting necessary research for property listing files
• Managing accounts payable and receivable, liaising with the accountant
• Confirming appointments and other events upon request
• Performing general administrative tasks, answering calls, filing, sending faxes, photocopying documents.
• Entering data into the contact management software and intranet and managing reports, synchronizing data
• Collaborating and following up on files with management and the agency's administrative departments
Qualifications
- Experience in the real estate field (commercial real estate an asset).
- Ability to work in both French and English.
- Ability to plan work and manage files , set priorities and manage expectations.
- Ability to meet tight deadlines.
- Practical experience as an administrative assistant in a fast-paced work environment.
- High degree of professionalism and ability to work autonomously.
- Good judgment and discretion, analytical and problem-solving skills.
- Strong attention to accuracy and detail, ability to adapt to change, management of multiple simultaneous tasks
- Knowledge of the Office suite (Word, Excel), Outlook, and Teams.
