Responsibilities
Draft correspondence, prepare and revise documents
Manage deadlines, schedule meetings and appointments, and maintain the lawyers' calendar
Organize travel arrangements and bookings for lawyers
Review and proofread documents for grammar, formatting, and compliance with legal requirements and Davies' visual identity
Manage files and records using various storage and archiving applications such as NetDocuments, Sharefile, etc.
Assist lawyers with business development projects and maintain the professional relationships database
Process data (time entries, expenses) and open files
Liaise with clients, colleagues, service departments including our Business Centre, and external parties
Follow up on lawyers' file billing in conjunction with billing specialists
Transcribe dictations, audio notes, and recordings
Compare documents (markups)
Contribute to the successful integration of new team members
Perform any related administrative tasks
Qualifications
A minimum of 5 years of relevant experience in a fast-paced professional services firm
College Studies Certificate (AEC) in Secretarial Studies or a College Studies Diploma (DEC) in Office Administration is an asset
Excellent oral and written communication skills in French and English
Advanced knowledge of Microsoft Office Suite, specifically Word, Excel, Outlook, and PowerPoint
Advanced knowledge of Adobe Acrobat Pro
Experience transcribing audio notes and knowledge of BigHand are assets
Professional experience or training in environmental science, engineering, or a related scientific field is an asset
Team spirit, organizational skills, and attention to detail
Ability to demonstrate proactivity, motivation, and the ability to anticipate needs
Ability to effectively manage priorities and work under tight deadlines
Demonstrates autonomy, discretion, critical thinking, and sound judgment
