Responsibilities
-Provide high-level administrative support to the business owner and team to ensure seamless day-to-day operations of the studio
-Manage customer service and reception, answering phone inquiries, greeting clients on-site, and qualifying incoming leads using established procedures in both French and English
-Oversee the end-to-end client lifecycle, from creating client files and preparing contracts to tracking program milestones, renewals, and departures
-Supervise daily financial administration, including programming recurring payments, reconciling daily transactions, processing refunds, and maintaining sales tracking files
-Generate data reporting and performance analytics, including weekly client progress reports, coach retention tables, and 4-week performance summaries
-Leverage daily AI assistance tools to automate, accelerate, and verify spreadsheet updates, data reports, and document drafting
-Coordinate studio schedules and team availability, managing coach calendars and booking client sessions in the management software
-Handle operational communications and marketing, drafting client emails, sending follow-ups, managing review requests, and maintaining the CRM database
-Oversee on-site studio operations, including opening and closing duties, access control management, general upkeep, and inventory tracking for supplements and supplies
-Handle sensitive client records, financial data, and proprietary business information with complete autonomy, and utmost discretion
Qualifications
-Bilingualism in French and English, both spoken and written
-Minimum of 2 to 3 years of experience in an administrative support or coordination role, preferably within a fitness studio, clinic, or service-based environment
-Strong numerical literacy and high attention to detail for managing payments, pricing updates, and sales reporting
-Advanced proficiency in Google Workspace
-Demonstrated familiarity or strong comfort with modern digital tools and AI-assisted workflows to drive day-to-day productivity
-Experience managing CRM platforms, scheduling systems, and payment processing terminals (experience with Fliip, RISE, Moneris, or Trello is an asset)
-Exceptional organizational and multitasking abilities, with the skill to prioritize complex tasks in a fast-paced setting
-High degree of autonomy, self-reliance, and proactive problem-solving with minimal direct supervision
-Strong interpersonal and diplomatic skills to deliver outstanding client service while firmly enforcing company policies
-Absolute discretion and professionalism when handling sensitive client data, contracts, and financial records
Our Client operates across Canada. This company takes all reasonable means to limit the number of positions in Quebec that require knowledge of a language other than French, and only requires this where it is necessary and its existing bilingual employees are unable to fulfil these job duties.
