As an Administrative Assistant, over 95% of your daily interactions will involve working directly with client partners and suppliers located in the United States. Responsibilities
• Manage the purchase order cycle end-to-end within the internal ERP database system, including order entry, supplier setup, order tracking, and receipt verification.
• Email approved purchase orders directly to suppliers, confirm acknowledgments, and maintain accurate records in the system.
• Prepare and process operational documentation, including direct shipments, advance shipping notices (ASNs), return goods authorizations (RGAs), non-conformance reports (NCRs), and new vendor setups.
• Monitor supplier delivery schedules, track inventory movement, and proactively follow up on delayed shipments to keep operations running on schedule.
• Build, format, and maintain custom Microsoft Excel spreadsheets to support daily reporting and project tracking.
• Maintain accurate project files and collaborate with team members to ensure all administrative deliverables are met on time.
• Operate standard office equipment including PCs, scanners, credit card terminals, and copiers to complete routine business administration tasks.
Qualifications
• Strong organizational capabilities and proven background in business administration or office support functions.
• Intermediate proficiency in Microsoft Office applications, with strong hands-on skills in Microsoft Excel.
• Experience working with ERP database software or electronic record management systems.
• Clear, professional verbal and written English communication skills suitable for regular US client and vendor phone calls.
• Strong attention to detail with the ability to spot discrepancies in paperwork before processing shipments or invoices.
• Ability to manage multiple open purchase orders simultaneously with effective follow-through and prioritization skills.
