Responsibilities
-Manage calendars, coordinate meetings, handle correspondence (emails, mail, etc.).
-Managing travel and activities logistics, including accommodations, transportation and meals;
-Perform administrative tasks such as new client intake, creating expense reports, spreadsheets and data entry
-Preparing reports, organizing documents, maintaining records, taking notes at meetings
-Effecting research and providing support in connection with day to day or special projects
-Draft, proofread, and format various legal and administrative documents and complete forms
-Update and ensure the accuracy of the organization's databases, including client lists and files
-Archive documents and client files according to established standards.
-Perform other general administrative responsibilities such as printing and filing, answering and forwarding incoming calls
-Occasionally cover the receptionist in case of absence
Qualifications
-Diploma of Vocational Studies (DVS) or equivalent diploma
-2 years of relevant experience in a corporate environment (strong asset).
-Excellent command of French and English, both spoken and written.
-Proficiency in Microsoft Office Suite and commonly used legal software (asset).
-Highly adaptable, autonomous, and proactive.
-Ability to work under pressure and manage multiple priorities.
-Discretion, diligence, and attention to detail.
