Responsibilities
Support to the President and Management:
Management of the agenda, organization, and coordination of meetings.
Participation in meetings, drafting, and distribution of meeting minutes.
Drafting and revision of letters (support, denial of complaints/denunciations).
Administrative and Operational Management:
Management of insurance policies (monitoring and analysis of clauses).
Production of annual declaration updates.
Management of internal communications (circulation of information, updates).
Management and monitoring of procurement (office supplies, maintenance) and suppliers.
Participation in the responsible procurement committee.
Logistical and Event Support:
Organization of social activities and contribution to a favorable work environment.
Booking and coordination of team travel (negotiation of corporate rates).
Research and sharing of events for development (partnerships, innovation, training).
Reception and External Support:
Welcoming guests and support during meetings.
Reception management (calls, mail, generic "info" emails).
Response to external requests (meetings, solicitations) and assistance to citizens/tenants (minor emergencies).
File Organization:
Digitization, classification, and archiving of files.
Maintenance of registers (complaints/denunciations, prevention program).
All related administrative support tasks for the teams.
Qualifications
Possess a minimum of three (3) years of experience.
Excellent capacity for adaptability and thoroughness/rigor.
Willingness to learn, autonomy.
Excellent French communication and writing skills.
Good command of the MS Office Suite.
Aptitude for drafting and revision.
Proactivity and ability to work in a team.
Time and priority management skills.
Resourcefulness.
Problem-solving skills.
Good capacity for adaptation/management of unforeseen events.
