Responsibilities
-Supporting two associates
-Ensuring smooth communication between associates, and both internal and external stakeholders
-Calendar management
-Greet visitors with courtesy and professionalism
-Draft, review, and format documents, reports, and presentations of impeccable quality
-Contribute to the preparation and updating of research documents, while ensuring accurate entry of interactions and meetings into the database
-Participate in client meetings and support associates by gathering key information and preparing reports,presentations and submissions
-Proactively coordinate associates' meetings, calls, and follow-ups, taking into account their priorities, time management styles, and the specific requirements of each assignment
-Foster a collaborative environment by participating in office life, building relationships of trust, and contributing to the collective success of the administrative team
-Prepare meeting rooms for interviews (refreshments, equipment, technical setup)
Qualifications
-Positivity and a can-do attitude
-Discretion, adaptable, resourceful, sound judgement and great interpersonal skills
-Ability to deliver quality work in a fast-paced environment with accuracy and responsiveness
-At least 6 years of experience in an executive support role or similar position involving project coordination and multiple priority management
-Proficiency in Microsoft Office Suite and demonstrated ease in navigating databases and dynamic digital
tools
-Strong attention to detail and the ability to design documents and presentations consistent with the brand image, highlighting information in a clear, neat, and professional manner
-Professional presence and natural interpersonal skills when interacting with influential leaders and executives
-Strong communication skills, both oral and written, in both French and English
-Excellent organizational skills, effective time management, and the ability to juggle multiple priorities simultaneously
-Ability to be resourceful and proactive with a natural approach to problem solving and remain calm in “urgent” situations
Our Client operates across Canada, and globally/internationally in the United States and other countries. This company takes all reasonable means to limit the number of positions in Quebec that require knowledge of a language other than French, and only requires this where it is necessary and its existing bilingual employees are unable to fulfil these job duties. Based on an assessment conducted by our client, it has been determined that this position requires candidates to be fluent in English (oral and written). In particular, this position will require the employee to:
-communicate with English-speaking clients/partners/employees located outside Quebec on a regular basis
-work on client projects, products or deliverables that are required to be delivered to clients in English
