This is for an Administrative Coordinator role. The Administrative Coordinator will be responsible for providing administrative and project coordination assistance. Reporting to the Project Manager, this role will primarily work closely with project partners, the Communications and Public Relations Lead, and an external brand and communications agency to ensure effective coordination, documentation, and communication across all project activities. The ideal candidate is highly organized, detail-oriented, and skilled at managing multiple priorities in a dynamic, collaborative environment.
Hours: Monday - Thursday, 9:00 am - 5:00 pm
Start Date: ASAP - August 6th
Hybrid: 2 days on site (Tuesday and Thursday)
Salary Rate: $26 - $28/hour

Responsibilities
-Provide day-to-day administrative support to the Project Manager under the supervision of the Programs Manager and project team to ensure smooth coordination of activities and timely completion of deliverables.
-Collect, organize, and maintain project data, documents, records, and partner information to support effective workflow and reporting.
-Schedule and coordinate internal and external meetings, including preparing agendas, taking minutes, and tracking action items.
-Support communication flow between team members and project partners, to ensure clarity and consistency of information.
-Track project milestones, deliverables, and deadlines to assist with progress monitoring and reporting.
-Assist in preparing project documentation and reports, presentations, and reports for internal and external stakeholders.
- Coordinate logistics for events, workshops, and meetings related to the Project.
- Liaise with the Communications & PR Lead and external brand agency to support administrative needs related to project communications and outreach (no content creation required).
-Handle general administrative duties and ad hoc tasks as assigned to support the efficient functioning of the project.
Qualifications
-Minimum 3 years of administrative or project coordination experience, ideally in a nonprofit or community-based setting.
-Strong organizational and time-management skills, with the ability to manage multiple priorities effectively.
-Excellent written and verbal communication skills.
-Strong interpersonal skills and ability to collaborate with diverse stakeholders.
-Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort working with digital collaboration tools (e.g., Teams, SharePoint, or Google Workspace).
-Familiarity with project management tools (Monday, Asana, Trello etc.)
-High attention to detail and a proactive, problem-solving approach.
-Ability to work both independently and collaboratively in a fast-paced environment.
