Responsibilities
- Execute comprehensive, high-level administrative and business operations duties to support senior management.
- Provide vital analytical support within a functional corporate organization.
- Prepare detailed reports for business planning and data analysis across assigned departments.
- Assess operational challenges and exercise independent judgment to recommend optimized reporting methodologies.
- Develop and refine office management processes to enhance overall workflow efficiency.
- Coordinate onboarding logistics for new hires and department transfers, ensuring IT account setup, equipment allocation, and phone extensions are established.
- Assist project managers in developing project plans and ensuring the absolute integrity of status reports.
- Organize complex corporate meetings, including managing travel itineraries, lodging arrangements, and associated logistics.
- Manage executive calendars, scheduling priorities, and time conflicts proactively.
- Screen incoming communications, manage physical mail distribution, and update internal distribution lists.
- Process monthly expense reports, Equipment Maintenance Requests (EMRs), and general office supply orders.
- Administer purchase orders (POs) and track internal financial transactions.
- Draft professional correspondence and manage the department’s presentation and asset library.
- Lead special project coordination, maintain secure, confidential filing systems, and capture accurate meeting minutes (including TDR and staff meetings).
- Supervise vacation tracking calendars and complete timecard reviews for operational compliance.
Qualifications
• Minimum 6 years of experience in an administrative, executive assistant, or similar role.
• Proven ability to learn and navigate multiple internal systems quickly (e.g., SAP, Workday, SailPoint, SharePoint, Power BI, MS Office Suite, etc.).
• Strong organizational and time management skills with the ability to work and prioritize tasks independently.
• Excellent communication and interpersonal skills along with the ability to work collaboratively with cross-functional teams.
• High attention to detail and accuracy in documentation and reporting.
• Critical thinker with effective decision-making skills.
