Reporting to the Director of Operations, the incumbent will carry out various administrative tasks for their department in order to respond to requests from students, teaching staff and in-house personnel. This department ensures the smooth running of the College's activities, particularly with regard to monitoring admission applications, processing educational contracts and managing the textbook inventory.

Responsibilities
- Maintain several Excel tables and tracking files
- Manage the textbook inventory (and all associated logistics)
- Manage mailing logistics
- Create student profiles and enter contracts into the financial system
- Prepare and ensure the mailing of school supplies and diplomas to students (possible handling of boxes weighing up to 10 kg)
- Manage orders for office supplies
- Follow up invoicing, process various files for payment follow-up and accounts receivable, extensions, and process payments at the counter and in the systems
- Communicating with students to respond to requests for information within your remit and to follow up on their files
- Validate invoices from various suppliers and keep rate agreements up to date
- Participate in events and other activities as required by the teams
- Actively participate in the implementation of IT tools and best practices
- Carry out all other related tasks pertaining to the department
Qualifications
-A college diploma (DEC) in administrative studies or any other education deemed equivalent
- At least five (5) years' experience in administration and data entry, related to billing (an asset)
- Experience in school admissions (an asset)
- Very good knowledge of Excel, as well as a good knowledge of the Office suite and office automation tools
- Fluency in written and spoken French and English
- Knowledge of CLARA software, the Omnivox environment or other school information tools (an asset)
- Autonomy, initiative and team spirit
- Excellent organisational skills and ability to manage priorities and meet deadlines
- Attention to detail and thoroughness, as well as a high level of confidentiality and ethics
- Ability to work under pressure in a fast-paced environment and to manage several tasks simultaneously
- Interpersonal skills, a high level of speed and adaptability
- Physical ability to handle boxes weighing up to 10 kg
