Responsibilities
In collaboration with the Coordinator, Research Programs, the incumbent is responsible and accountable to:
• Provide operational support in the implementation and management of programs and competitions, including updating documents, interreacting with applicants and reviewers, and other related tasks.
• Supports management and review processes of programs and competitions within the grants management system.
• Assists with the preparation and follow-up of payments to academic and research institutions.
• Collaborates in providing administrative support for the tracking of invoices sent to partners.
• Assists the team in monitoring the receipt of scientific and financial reports to ensure compliance and timeliness.
• Provides support in responding to researchers’ inquiries regarding their applications to programs and competitions.
• Helps maintain databases (Access and ProposalCentral) containing information related to research programs and partnerships.
• Collaborates with the Scientific Advisor to support responses to ad hoc internal requests related to programs and competitions.
• Provides support to the Scientific Advisor as well as to the Communications and Marketing team for updating research-related web pages, drafting newsletters, and preparing the annual impact report.
• Participates in the filing, archiving, and destruction of documents in accordance with policies.
• Supports the team with any other administrative tasks, as required.
Qualifications
Requirements
• Diploma of college Studies in Administration or a university certificate in a scientific field (an asset).
• Three to five years of experience in the management and administration of research grants and competitions.
• Excellent knowledge of French and English (spoken and written).
• Proficiency in known office applications, including Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, Planner, Power BI).
• Knowledge and experience with grant management platform, Altum’s ProposalCentral (an asset).
• Knowledge and experience with Raisers’ Edge NXT (Blackbaud) or other donor research software (an asset).
Skills and Competencies
• Excellent planning and organizational skills.
• Strong ability to manage multiple projects at the same time and prioritise tasks.
• Ability to work in a structured, methodical, and deadline-oriented manner.
• Excellent teamwork skills.
• High level of communication and interpersonal skills.

Our Client operates across Canada, and globally/internationally in the United States and other countries. This company takes all reasonable means to limit the number of positions in Quebec that require knowledge of a language other than French, and only requires this where it is necessary and its existing bilingual employees are unable to fulfil these job duties. Based on an assessment conducted by our client, it has been determined that this position requires candidates to be fluent in English (oral and written). In particular, this position will require the employee to:
-communicate with English-speaking clients/partners/employees located outside Quebec on a regular basis
-work on client projects, products or deliverables that are required to be delivered to clients in English
