Responsibilities
• Provide proactive administrative and executive support to the Director of Support Services and departmental leadership team.
• Manage complex executive calendars, schedule meetings with internal teams, external partners, and vendors, and take accurate meeting minutes.
• Coordinate domestic travel arrangements, track itineraries, log travel expenses, and manage receipt reporting.
• Utilize Microsoft Excel to organize datasets, create operational formulas, establish due dates, and build tracking systems for key departmental metrics.
• Monitor and maintain Health and Safety inspection schedules and tracking logs to ensure institutional compliance.
• Prepare, format, and distribute high-quality correspondence, informational materials, presentations, and statistical summary reports.
• Maintain structured digital files, directories, vendor records, and departmental documentation.
• Act as the first point of contact for departmental inquiries, routing communications appropriately while maintaining confidentiality.
• Provide administrative oversight for user accounts, onboarding orientation, and access portals.
• Identify workflow bottlenecks and recommend proactive process improvements to enhance operational efficiency.
Qualifications
Skills:
• High-level proficiency in Microsoft Excel (data organization, formula building, tracking, and basic data analysis).
• Strong command of the Microsoft Office Suite (Word, PowerPoint, Outlook).
• Exceptional organizational and multi-tasking skills with meticulous attention to detail.
• Outstanding verbal and written communication abilities.
• Proven troubleshooting and problem-solving skills with the ability to exercise independent judgment.
• Strong customer service orientation and ability to build positive relationships across diverse teams.
• High degree of discretion and integrity when handling confidential information.
Requirements:
• 3 to 4 years of proven administrative experience, ideally within a non-profit, community service, or public-sector organization.
• College diploma in Business Administration, Office Management, or equivalent practical experience.
• Practical expertise in Microsoft Excel assessment scenarios (data organization, calculating dates, formatting formulas).
• Demonstrated experience managing executive schedules and supporting leadership workflows.
• Willingness to complete standard background checks, including a Vulnerable Sector Screening (VSS).
